Administration assistant - Environment & Climate cluster coordinator office

Job Description and Requirements

The “Environment & Climate Cluster” in Jordan is seeking for an “Administration Assistant” - on a full time base employment.

A. Required qualifications, competences and experience

Formal Education

  • University Degree in Business Administration or similar relevant field.

Professional Experience

  • At least 2 years of professional experience in a comparable position
  • Experience in administration work in similar field or development organizations
  • Experience in event management
  • Understanding of IT guidelines

Other knowledge, additional competences

  • Excellent English and Arabic language knowledge, writing and communicating
  • Eye for details and capability of monitoring lists, and documentation of processes
  • Proficiency with all MS-Office applications especially Outlook. Openness to work with new applications and to learn new software.
  • Experience and ability to cope with dynamic situation of cooperation system in development field
  • Experience and ability to deal with unexpected challenges

B. Responsibilities

Admin Assistant for cluster coordinator office

The position holder is responsible for:

  • Keeping records and organization of cluster coordinator meetings internally and externally.
  • Communicating with cluster team members for arranging relevant meetings with cluster coordinator
  • checks and prepares invoices related to cluster coordinator office for payments according to GIZ rules and regulations
  • Creates and maintains related filing system for all cluster coordinator office documents
  • Conduct necessary background research for meetings of cluster coordinator
  • Logistical support to cluster coordinator in terms of daily agenda, travel planning, settlements, etc..
  • Keeping and organizing required documentation for cluster coordinator
  • Keeping inventory and stock of cluster coordinator office supplies and equipment and necessary maintenance follow up.
  • Communicating with GIZ Country office for relevant correspondence and activities under the responsibility of the cluster coordinator
  • organizes events, seminars, mission programmes and workshops requested by cluster coordinator including handling all related logistics and financial processes according to GIZ rules and regulations
  • Support in developing communication and PR materials for cluster coordinator when required
  • Maintaining calendar of events for the cluster
  • assures that all PCs in the cluster coordinator office are protected by confidential passwords in coordination with the IT consultant
  • assures that all PCs in the cluster coordinator office are protected by permanent and regularly updated automatic virus software in coordination with the IT and assists in regular data backup by storing in GIZ filing system
  • keeps an updated IT Documentation list as per GIZ rules and regulation and GIZ IT Guidelines
  • ensures that administration folders for cluster coordinator in DMS are always up to date
